In the new console, invoices are collected and processed centrally through an invoicing questionnaire. The invoicing process on the organization side is: download the payment voucher in "Balance Management" → fill out the invoicing questionnaire (upload voucher + billing details) → wait for the invoice to be issued. This article explains the complete process, required information, turnaround time, and frequently asked questions.

⚠️ Important: When submitting the questionnaire, you must upload the payment voucher downloaded from the platform. Applications without a voucher cannot be invoiced.

1. Overall Process

Invoicing consists of three steps:

  1. Download the payment voucher from the platform — Log in to the console and download the payment voucher for a paid order in "Balance Management"
  2. Fill out the invoicing questionnaire — Upload the voucher and fill in the invoice billing details
  3. Wait for the invoice — The invoice is issued within 3–5 business days after submission
  • Step 1: Log in to the console, go to "Balance Management" and download the payment voucher for a paid order
  • Step 2: Open the invoicing questionnaire, fill in the invoice billing details and delivery information, and upload the voucher you just downloaded
  • Step 3: Customer support processes it within 3–5 business days and sends back the electronic invoice

2. Prerequisites

  • You have logged in to the console as an Organization (top-level user)
  • You have at least one order with the status Paid
  • You have prepared the invoice billing details (full company name, tax ID, etc.)
  • You have an email address or mailing address to receive the invoice

Orders that are timed out, payment-failed, canceled, or refunded cannot be invoiced. Sub-users do not have invoicing permissions; order management is an organization-exclusive feature.


3. Step 1: Download the Payment Voucher

Steps

  1. Log in to the platform console (YOUR_API_BASE_URL)
  2. Left navigation bar → Balance Management
  3. In the order list, switch the status filter at the top to Paid to quickly locate invoiceable orders
  4. Find the target order row and click the Download Voucher button on the far right
  5. The browser automatically downloads the voucher file; please save it locally

Order list page notes:

  • The status filter is at the top; the list fields typically include order number, amount, product, payment method, status, and action
  • For Paid orders, the "Action" column shows the Download Voucher button; for statuses such as refunded, it shows and cannot be downloaded

The exact downloadable statuses and button labels are subject to the actual console. If there is an order details dialog, it usually also provides a "Download Voucher" entry, which downloads the same file as the list.

Notes

  • Only Paid orders display "Download Voucher"
  • The corresponding amount of refunded / partially refunded orders can no longer be invoiced
  • When multiple orders need to be invoiced, download the voucher for each one in turn (batch download is not yet supported; see Section 6)

4. Step 2: Fill Out the Invoicing Questionnaire

Steps

  1. Open the invoicing questionnaire link
  2. Fill in the invoice billing details in turn (company name, tax ID, etc.)
  3. Fill in the delivery information (email / mailing address, etc.)
  4. At "Upload Payment Voucher", select the voucher file downloaded in Step 1
  5. After verifying everything is correct, click Submit
  6. After successful submission, the page displays a confirmation message

Notes

  • Be sure to upload the voucher, otherwise the invoice cannot be issued
  • When combining multiple orders into one invoice, upload the vouchers for all orders together (the questionnaire usually supports multiple files)
  • Carefully verify the billing details; the billing details are hard to change after submission, and an incorrect invoice must be voided and reissued

5. Step 3: Wait for the Invoice

Invoicing Turnaround Time

  • Under normal circumstances, customer support completes invoicing within 3–5 business days
  • There may be slight delays during busy periods such as holidays, month-end, and quarter-end
  • The invoice type is usually an electronic invoice (PDF)

How to Receive It

  • Electronic invoice: Sent to the email address entered in the questionnaire
  • Mailed invoice (if supported): Sent to the mailing address provided

If Not Received After 5 Business Days

Please contact customer support and provide: order number, application submission time, and the receiving email address entered.


6. Batch Capabilities

  • Batch download of vouchers: Not yet supported. Please download vouchers one by one and upload them to the invoicing questionnaire to apply for invoices.

7. Frequently Asked Questions

Q: Can multiple orders be combined into one invoice?

A: Yes. Enter the total amount in the questionnaire and upload the vouchers of all orders to be combined. It is recommended to note in the remarks "combined invoice, order numbers: XXX, YYY".

Q: Without a downloaded voucher, can I get an invoice using only the order number?

A: No. The payment voucher is a necessary basis for invoicing and must be downloaded and uploaded to the questionnaire.

Q: Nothing happens when I click "Download Voucher"?

A: ① Check whether the order is "Paid" (switch to that tab to view); ② Check whether the browser is blocking the download (check settings or switch browsers); ③ Retry later in case of network issues; ④ If it keeps failing, contact customer support.

Q: What if the invoice billing details were filled in incorrectly?

A: Before the invoice is issued — resubmit the questionnaire and note "use this submission as the final version"; after the invoice is issued — it must be voided / red-flushed and reissued. Please contact customer support; this may require an additional 3–5 business days.

Q: Can I get a special VAT invoice?

A: Please note "special invoice" in the questionnaire and provide complete general taxpayer qualifications (tax ID, bank of deposit, account number, address, phone). Customer support will review it according to policy and qualifications.

Q: Can refunded orders still be invoiced?

A: No. For partially refunded orders, you can only apply for the non-refunded portion; please explain this in the questionnaire.

Q: Can subscription products be invoiced?

A: Yes. Subscription orders, like recharge orders, are displayed in the order list under "Balance Management" and their vouchers can be downloaded. The process is the same.

Q: Is the downloaded voucher the same as the invoice?

A: No. The voucher is a proof of payment generated by the platform (similar to a receipt), used as supporting material when applying for an invoice; the official VAT invoice is issued by finance and sent by email.

Q: Can both companies and individuals be invoiced?

A: Yes. Companies fill in the company name and tax ID; individuals fill in their name, with no tax ID required. Please select the corresponding billing type in the questionnaire.


8. Notes

  • Download the voucher before submitting the questionnaire — this is the key prerequisite for successful invoicing
  • Invoicing turnaround time is 3–5 business days; avoid submitting in bulk at month-end or quarter-end to prevent delays
  • The billing details must exactly match the business license to avoid rejection
  • Keep an eye on the receiving email (including the spam folder) so you don't miss the invoice
  • Refunded, timed-out, and failed orders cannot be invoiced; only "Paid" orders qualify
  • Batch download of vouchers is not yet supported; please download them one by one
